Illustrative workflow

Spend less time assembling files and more time getting the right information submitted.

A submittal is rarely one file. It is a collection of product information, supporting documents and sections that have to be assembled in a useful order. Rebuilding that package from an email thread makes the next revision harder than it needs to be.

How the workflow works

01

Find the requirements

Review the project specifications and identify the documents your trade needs to submit. Use the Spec Analyzer to help locate relevant sections, then verify the requirements against the source.

02

Choose what goes in

Upload documents into the project, include or exclude individual files, drag them into order and add named section dividers. Save separate packages for different materials or scopes, each with its own document selection and arrangement.

03

Build the actual deliverable

Generate a combined PDF with a company-branded cover, a table of contents using document display names, section dividers and the selected documents. Review the output before sending it.

04

Send it and keep the record

Email a link to the built package from the project and retain the sent package for reference or resend. Linked register items can move from pending to submitted when sent; items marked for revision can go through a resubmission cycle.

Put the workflow to work

Build a submittal package, not another folder of files.

To build a construction submittal package, verify the project requirements, collect the relevant documents, select what belongs in the package and arrange it in a clear order. Add the required identifying information, review the finished PDF and submit it through the project's required process.

A few good questions

Before you bring
the team on board.

Can one job have multiple submittal packages?

Yes. Use separate named packages for different scopes or materials, such as masonry units, accessories and finishes.

Can we leave some documents out of a package?

Yes. Include or exclude individual files and arrange the selected documents and dividers. Different named packages can use different selections from the project documents.

Does PM4Subs create the cover and table of contents?

Yes. The project package builder generates a cover using your company and project information, followed by a table of contents and the arranged package documents. Configure your company logo and review the finished PDF before sending.

Can we email a complete package from the project?

Yes. The package workflow includes PDF generation and email. Your company must configure the sending account before using outbound email.

Does the Spec Analyzer approve our submittals?

No. It helps you find relevant specification information. Your team verifies the requirements, and approval remains with the appropriate project reviewers.
